The Executive Assistant facilitates smooth operation of Corporate Administration by providing professional administrative support to multiple executive team members, including the COO and others. Provides administrative support of a highly complex and responsible nature. May interface with high level internal/external contacts requiring considerable discretion and initiative. Usually performs "gate-keeping" function for executives and coordinates schedules for meetings, arranges appointments and schedules visitors. Works independently in answering telephone calls. Reads incoming mail and independently handles or attaches appropriate information. Exercises judgment to reflect manager's style and company policy. Typically requires extensive secretarial experience to high level management. Typically oversees administrative issues with minimal guidance and assumes responsibility for providing timely, appropriate responses to requests or complaints made to management or refer them to appropriate person.

In this position you will:

  • Participate in a cohesive team approach to executive support, cross-trained to provide backup coverage for team members

  • Create and manage executive schedules to maximize time and efficiency

  • Use analysis, business acumen, project management, experience and sound judgment to assist the Executive Team in formulating decisions, enhancing accountability and tracking progress and project completion

  • Work with the Executive Team to establish and maintain sound relationships with internal and external customers - acts as first point of contact to all visitors and callers to Corporate Administration

  • Produce clear visual materials, project documentation, and data for use in reports, local briefings, workshops and correspondence, manage databases and create presentations, reports, documents and desktop publishing

  • Proficient with MS Word, Excel, Power Point, Access and mail merge to create Spreadsheets, compose correspondence, manage databases and create presentations, reports, documents and desktop publishing

  • Works independently in answering telephone calls. Reads incoming mail and independently handles or attaches appropriate information

  • Ability to interface effectively and professionally with Board members

  • Coordinates travel arrangements for the Executive Team

  • Orders and maintains office supplies for Corporate Administration

  • Act as the backup Kronos timekeeper for Corporate Administration

  • Assists with Risk Management issues, act as liaison for all legal matters

  • Tracks expenses for the Executive Team and assists with the management of the Corporate Administration budget

  • Must have ability to multi task and thrive in a fast paced environment

  • Create and analyze reports utilizing various software/data

  • Draft and format generic and tailored correspondence to key stakeholders


Required qualifications for this position include:

  • Bachelors degree and/or equivalent in education and experience

  • 5 years of job related experience with senior management

  • Ability to interface with top level internal/external contacts requiring a high level of discretion, professionalism

  • Reliability in managing confidential information

  • Strong initiative and independent judgement in non-routine matters

  • Excellent organizational skills and attention to detail

  • Strong ability to multi-task, prioritize and meet deadlines

  • Strong computer skills in MS Word, Excel, PowerPoint, Visio, MD Project, MS Outlook/scheduling, internet navigation

  • Excellent organizational skills, attention to detail and verbal and written communication skills

  • Ability to work in a fast-paced business environment.
