The Patient Care Coordinator performs a variety of front office clerical and support tasks within the primary care and specialty departments. Primary responsibilities include management of patient referrals, patient registration (where applicable), patient scheduling, scanning, and customer service (See primary responsibilities/competencies section). Answers the phone, greet visitors, and a variety of clerical services (See primary responsibilities/competencies section). Orders/maintains office supplies, back-up support services, and collect co-payments. Schedules appointments including the coordination of multiple same-day patient appointments with different disciplines. Arranges for interpreter services, when needed. Other clinic-related duties as assigned.
In this position you will:
Answer telephone including All Call Distribution (ACD) Departmental lines and screen calls by inquiring about caller needs. Answer routine questions, confirm appointments, forward calls to appropriate parties, refer caller to other sections of the organization and take messages as required. Soft transfer calls to other departments and schedules patients for upcoming appointments.
Greet visitors, confirm appointments and announce to appropriate party. Screen drop-in visitors by determining purpose of visit. Confer with staff to determine appropriate handling. Use tact and diplomacy to obtain and relay information to visitors.
Provide exceptional customer service and demonstrates caring behavior. Work closely with patients, families, visitors, physicians and staff to identify needs, answer questions, resolve problems or provide other information.
Provide a variety of clerical services including, but not limited to, typing correspondence or reports, operating copy machine, opening, sorting and distributing Interoffice and US Mail, sending or receiving faxes, maintaining files and record storage, and scanning of documents into the electronic medical record.
Order and maintain appropriate levels of office supplies.
May provide back-up support services to cover for lunch periods, vacations or other absences. Flexible in working various shifts, when needed.
Accurately registers patients into the electronic medical record. Verifies accurate patient information, including coverage eligibility, and PCP. Interviews patients and families to obtain required demographic and financial data.
May complete timely and accurate billing of all patients treated by clinic providers.
Collect, record and enter daily and monthly statistics for patient treatment, billing, productivity and time cards.
Assume responsibilities for ordering, renting and purchasing supplies while maintaining inventory minimums.
Schedule appointments including the coordination of multiple same-day patient appointments with different disciplines. May schedule therapy procedures. Arrange for interpreter services, when needed.
Compile all documents for patient charts as required by medical records.
Delegate and supervise projects assigned to volunteers.
Participate in interdisciplinary quality improvement, problem identification and resolution of department problems, which impact the delivery of patient services, safety initiatives (to list). Attend department meetings and ongoing education workshops.
For new referral intake; receives and completes all information required for new patient referral. Verifies required information e.g. medical information, verification of insurance eligibility. Requests insurance authorizations when needed.
Enter orders only encounters into EPIC for scheduling purposes. Responsible for completing appropriate paperwork during EPIC downtimes and inputting accurate information for the recovery process.
Organize work to perform multiple functions concurrently, demonstrating ability to respond appropriately to requests from staff, patients, physicians, etc
Distribute patient educational materials and literature to meet regulatory requirements (i.e. HIPPA, Patient Rights).
Keep work area neat, orderly, and well stocked of necessary supplies. Keep patient waiting area orderly throughout the work day including maintaining pamphlet and other periodical supplies.
Obtain and witness patient’s signature for consent/financial responsibility/DNR acknowledgment. Scan and categorize documents in the electronic medical record.
Obtain pertinent patient insurance information in order to facilitate verification of eligibility and benefits. May access Accesses insurance verification programs such as Passport and One Health Port
Provide timely corrections in work queues.
Has the initial contact for patients, physician offices, and family members with scheduling needs, therapy/procedure inquiries, insurance information, and general questions.
Collect co-payments and private pay deposits, balances cash drawer, and prepares daily deposits.
Adhere to Federal HIPPA guidelines to protect patient privacy.
Demonstrate a good understanding of overall departmental and organizational operation, following departmental policies and procedures.
Participate in other duties as assigned.
Coordinate with vendors and patients regarding durable medical equipment (DME) to help ensure patients receive what they need.
Optimize departmental schedules by coordinating, manipulate and re re-arranging appointments as needed to get full utilization of providers schedules and thereby improving patient access and providers functioning at full capacity while at work.
Required qualifications for this position include:
One (1) year medical/healthcare setting or two (2) years customer service role
Six (6) months recent receptionist or front desk experience
Preferred qualifications for this position include:
Three (3) months related experience (recurring appointments)
Experience with medical terminology and basic medical record processes
